How to Use Gmail, Google Calendar and Google Drive Offline.

Yes, Gmail, Google Calendar and Google Drive all work without an internet connection. If you are travelling, on an aeroplane, or simply dealing with an unreliable connection, you can still read and reply to emails, check your appointments, and access your documents — all while completely offline.

The key requirement is that you must enable offline access in each application before you lose your internet connection. You cannot turn on offline mode once you are already disconnected. You also need to be using the Google Chrome browser (Google Drive additionally supports Microsoft Edge). Offline mode does not work in Firefox, Safari, Incognito mode, or Guest profiles.

This guide walks you through the exact steps to enable offline access in Gmail, Google Calendar, and Google Drive on a computer, along with what to expect and common troubleshooting tips. I have also created a video walkthrough that accompanies this guide, which you can watch below.

What Do You Need Before Setting Up Offline Access?

Before enabling offline mode for any Google Workspace application, make sure you have the following in place:

  • Google Chrome browser (required for Gmail and Google Calendar; Google Drive also supports Microsoft Edge)

  • A stable internet connection for the initial setup and synchronisation

  • Sufficient storage space on your device — offline data is stored locally in your browser

  • A non-shared device — offline emails and files are cached on the machine, so avoid setting this up on public or shared computers

  • Google Workspace admin permission (if applicable) — if you use a work or school Google Workspace account, your IT administrator must have enabled offline access in the admin console. If the offline option does not appear in your settings, contact your IT team.


How to Enable Offline Access in Gmail

Gmail offline mode allows you to read, search, compose and reply to emails without an internet connection. Any messages you send while offline are placed in an Outbox folder and sent automatically once your connection is restored.

To enable offline access in Gmail:

  1. Open Gmail in Google Chrome.

  2. Click the Settings cog in the top right corner.

  3. Click See all settings. (While you're there, here's some other settings you might want to enable, too.)

  4. Select the Offline tab.

  5. Tick the box next to Enable offline mail.

  6. Under Sync settings, choose how many days of emails you want available offline (for example, 7, 30 or 90 days).

  7. Choose whether to download attachments for offline access.

  8. Click Save Changes.

A spinning synchronisation icon will appear in the top right of the Gmail interface. Once this stops spinning, your emails have been synced and offline access is ready.

Tip: Bookmark your Gmail inbox in Chrome so you can easily find it when you are offline. Navigate to Gmail, then press Ctrl+D (Windows) or Cmd+D (Mac) to save the bookmark.

What Can You Do in Gmail Offline?

When offline, you can read and search through synced emails, compose new messages, reply to and forward messages, archive and delete emails, and download attachments to your device. Messages you compose or reply to while offline will be queued in your Outbox and sent automatically when you reconnect to the internet.

What Are the Limitations of Gmail Offline?

Gmail offline only works in Google Chrome — not in Firefox, Safari, Edge, or any other browser. It also does not work in Incognito or Guest mode because these modes do not save local data. You can only enable offline access for one Gmail account per Chrome profile. If you need offline access for multiple accounts, you will need to create separate Chrome profiles for each one.


How to Enable Offline Access in Google Calendar

Google Calendar's offline mode lets you view your schedule, get reminders, create and edit events, and respond to invitations — all without an internet connection. When enabled, you can access events from up to four weeks in the past and any events scheduled in the future.

To enable offline access in Google Calendar:

  1. Open Google Calendar in Google Chrome.

  2. Click the Settings cog in the top right corner. (While you're there, here's some other settings you might want to enable, too.)

  3. Click Settings.

  4. In the left-hand menu under General, click Offline (or scroll down until you see the Offline section).

  5. Tick the box next to Turn on offline calendar.

  6. Reload Google Calendar.

A synchronisation icon will appear in the top right of your Google Calendar view. Once synchronisation completes, your calendar is ready for offline use.

What Can You Do in Google Calendar Offline?

You can view your calendar by day, week or month, see upcoming events and reminders, create new events, edit existing events, and respond to event invitations. All changes made offline will sync automatically once your internet connection is restored.


How to Enable Offline Access in Google Drive

Google Drive offline mode gives you access to your Google Docs, Sheets and Slides files without an internet connection. You can view, edit and create documents while offline, and all your changes will sync back to the cloud when you reconnect.

To enable offline access in Google Drive:

  1. Open Google Drive in Google Chrome or Microsoft Edge.

  2. Click the Settings cog in the top right corner.

  3. Click Settings.

  4. Toggle on the Offline setting.

  5. If you are using Microsoft Edge, you will be redirected to the Chrome Web Store to install the Google Docs Offline extension.

Google Drive will begin enabling offline mode. A synchronisation icon will appear in the top right corner of your Drive view to confirm offline mode is active.

How Does Google Drive Decide Which Files Are Available Offline?

Google Drive uses AI to automatically determine which files you are most likely to need when offline, based on your recent activity. You can see which files have been made available by clicking the synchronisation icon and selecting Offline preview.

If there is a specific file you want available offline that has not been automatically selected, you can manually mark it. Right-click on the file in Google Drive and select Available offline. A tick will appear to confirm the file is now available without an internet connection.

You can also mark individual files as available offline from within Google Docs, Sheets or Slides by clicking File and then selecting Make available offline.

What About Google Drive for Desktop?

If you have Google Drive for Desktop installed on your computer, you have an additional option. Drive for Desktop allows you to either stream or mirror your files. If you choose to mirror your files, they are stored locally on your hard drive and are always available offline. If you stream your files, you can selectively mark individual files or folders as available offline through the app.


Troubleshooting Offline Access Issues

If you are experiencing problems with offline mode in Gmail, Google Calendar or Google Drive, here are the most common causes and solutions.

Offline option does not appear in settings: If you use a Google Workspace account through work or school, your IT administrator may not have enabled offline access. Contact your IT team to ask them to enable the offline setting in the Google Admin console.

Messages or files are not syncing: Make sure Google Chrome is open and running — syncing can only happen while the browser is active. Also check that your device has enough storage space. You can reduce the number of days of emails synced in Gmail or uncheck the option to download attachments to free up space.

Insufficient offline storage error: This usually means your device's hard drive is running low on space, or you are trying to use offline mode in Incognito or Guest mode (which is not supported). Also check that your Chrome settings are not configured to clear cookies when the browser closes, as this will remove your offline data.

Offline mode not working in your browser: Remember that Gmail and Google Calendar offline only work in Google Chrome. Google Drive offline also supports Microsoft Edge. No other browsers support offline mode for these applications.
